\nRapid growth made payment process modernization essential for Ora, a full-service global contract research
\norganization (CRO) specializing in ophthalmology.\n<\/p>\n

\nAs Ora conducted more complex Phase III studies and expanded globally to 25 countries, the number of
\nsites increased significantly. The company needed to manage a higher volume of global clinical research
\nsite payments in multiple currencies, which pushed the limits of its manual and paper-based processes.

\nAt the time, Ora\u2019s payments process was entirely paper-based and managed in Microsoft Excel trackers. \u201cIt was
\nresource-intensive and time-consuming to determine payment schedules, and site inquires about payment
\nstatus required a lot of back and forth between clinical study and finance teams,\u201d says Edward Leftin, director
\nof information systems at Ora.\n<\/p>\n

\nAt Ora, there are several payment triggers – visits, a combination of visits and procedures, and specific clinical
\nstudy milestones. To encourage early user adoption, the company opted for a less complex approach to
\nimplementation, configuring basic functionality and adding new capabilities as they become available in
\nVeeva Payments.\n<\/p>\n

Vault Dashboards and Reports Surface Data in One Place<\/h2>\n

\nSeveral months after going live with Veeva Payments, Ora managed more than $1 million in site payments more
\nquickly and easily than in the past. Using real-time reports and dashboards that centralize data from Veeva EDC,
\nVeeva CTMS, and Veeva Payments, the Ora team no longer needs to search for information from different sources
\nand build pivot tables in Excel to process payments.\n<\/p>\n

\nOra\u2019s team currently uses multiple Veeva Payments features, from site and study budgets to overhead and
\nholdbacks. They can now streamline payments and set fees, reimbursement rates, payment thresholds,
\nadvances, and reimbursement limits for each site. The team has also created two new workflows to alert
\nteam members about upcoming payments, including one that identifies payable items before approval.
\n\u201cWith Veeva Payments, we\u2019ve been able to meet requests from clinical operations teams to build reports that
\nsupport how they analyze data. With easily accessible data, we\u2019re creating tools that support their workflows,\u201d

\nRecently, Ora generated payment letters across three studies and found they were accurate, with very few
\ndiscrepancies between sites. Because sites can see what they\u2019ve been paid for in one comprehensive
\npayment letter, the amount of back and forth communication with Ora\u2019s payment department has decreased
\nsignificantly. In addition, Ora\u2019s finance team no longer has to wait for multiple workflow steps to be completed
\nbefore disbursement because the entire process has been automated. Payment requests are routed for review,
\napproved directly in Veeva Clinical Operations by clinical project managers, with updates sent automatically to finance.\n<\/p>\n
